How do I set up classes by style, age and level?
Once. You create each class as a recurring class with its own number of places: ballet for the youngest on Monday, street dance for teens on Wednesday, adult beginners' contemporary on Thursday evening. The timetable then repeats every week of the term.
Pupils see the timetable and book a place, and one-to-one lessons or private coaching for exams and competitions sit in the same calendar. The way places and waiting lists work is the same as in our class booking app.
How do enrolments work?
A new pupil usually starts with a trial class. Trials are handled at reception, from the first lesson up to the first purchase, so the family who came on Saturday is still on your list the following week.
To enrol, they buy the membership for their class in the app or at the desk, for the term or by the month. From then on, their bookings, their payments and their attendance are all in one place.
Can families pay term fees in instalments?
Yes. You decide how you sell: a membership for the term, a monthly membership, a class pack for adults who come when they can, or a single drop-in class. Term fees can be split into instalments, and every payment goes straight into your bank account.
Outstanding balances and reminders take one tap, so nobody has to chase fees at the end of a class with a parent waiting in the car. Discount codes cover offers such as a reduction for a second class, and gift cards make a good present. Our page on membership and fee management has the details.
How do I organise shows, exams and events?
Publish them as events in the app: the end-of-year show, a summer intensive, a workshop with a guest teacher, a competition weekend. Everyone sees the date and the details in the same place as their timetable.
Announcements tell the whole school about rehearsals, a change of room or a class that moves for half term, and challenges give pupils something to work towards between shows.
How do I keep pupils and families informed?
With announcements and chat in the app. Messages reach the people who need them without a group chat on a teacher's personal phone, and staff talk to each other in the same place.
When a class is cancelled or a show time changes, one announcement in the app replaces a dozen separate messages.
How do I take the register?
With the QR code on each pupil's phone or in their Wallet, shown at the door or at reception. Every visit is logged with the name and the time, so the register fills itself and you can see who has been coming and who has missed a few weeks.
Yeki also shows you the members at risk of leaving before they go, which in a dance school often means the pupil who has quietly stopped coming in the middle of term.
What does it cost?
Nothing for the school. Classes, enrolments, payments, events and chat are part of Yeki's free gym and studio management software: no subscription and no price per pupil. A small service fee is added when someone buys in the app, shown before they pay, and you can choose to cover it yourself.
