How does booking work for reformer classes?
Each class gets as many spots as you have reformers, and the number can change from one time slot to the next: eight beds in the main room, four in the small one. Mat Pilates, yoga, barre and hot yoga work the same way, with the number of mats you can fit.
You set up your recurring classes once and the timetable repeats every week. Members see the open spots and book with one tap. When the last spot is taken, the class shows as full and the waiting list takes over.
What happens when a client cancels?
The waiting list moves up on its own. When a spot opens, the next person on the list takes it, so a cancellation at 06:30 doesn't leave an empty reformer in the 07:00 class and nobody at the desk has to send messages to fill it.
You set the cancellation window, and it applies to every booking, made in the app or at reception. Clients can cancel up to your deadline and not after, which makes late cancellations a rule everyone knows, not a discussion. The same rules run every class in our class booking app.
Can I sell class packs, intro offers and memberships?
Yes. Studios like yours live on class packs, so they sit next to monthly memberships, drop-in classes and trials in the same app your clients book with. The money goes straight into your bank account, with instalments when you offer them.
Discount codes help with launches and quiet months, and gift cards let a client give a few classes to a friend. Outstanding balances and reminders take one tap. Every option is explained on our page about gym membership software.
How do clients check in?
With the QR code on their phone or in their Wallet. They show it at the door and the visit is logged, with no paper register and no cards to hand out.
People coming for a trial are handled at reception, from their first class up to their first purchase, so nobody who tried a session gets forgotten.
How do my instructors and I keep in touch with clients?
Chat with members and staff is in the app, so a question about a class doesn't end up on an instructor's personal phone. Announcements reach your whole community, for a new class, a workshop or a change to the timetable.
Events and challenges give clients something to look forward to beyond their usual class, and Yeki shows you the members at risk of leaving, while there is still time to invite them back.
What does it cost a small studio?
Nothing. Booking, payments, check-in and chat are part of Yeki's free studio and gym management software: no subscription, no tier and no price per member.
When a client buys a pack or a membership in the app, a small service fee is added to your price and shown before they pay. Clients with Plus or Yeki Pass pay none, and you can choose to cover it yourself in the settings.
